For CFOs and controllers

Cash that arrives when the work is done. Numbers you can sign.

No more cash sitting between the finished job and the invoice. No more close that eats the first weeks of every month. No more reports you rebuild by hand because two systems disagree. We come to your site, follow the work from the field to the ledger, and fix the issues costing you the most, so billing gets what it needs the day the work is done and your accounting system stays the system of record.

What costs you the most

Cash tied up between work done and invoice. The job is finished, but the hours are on a timesheet, the parts on a truck slip, the extra work in somebody's memory and the customer's signature in the cab. Billing waits for all of it, and the cash waits with it.

A close that takes weeks. Every month you wait for tickets, chase the field for job costs, and reconcile what the field app says against what accounting says. The close is late because the information arrives late, not because your team is slow.

Numbers you cannot trust. The field system says one thing and the ledger says another, so every report to the owners starts with someone rebuilding it in a spreadsheet. Every retype adds days and errors. That is the re-entry trap.

Margin you see after the job is over. Job costing arrives when nothing about the job can still change.

How we work with you

We follow the money backward: from the ledger to the invoice, from the invoice to the ticket, from the ticket to the work in the field. In the Spec we measure how long finished work waits to be billed today, find where information is rebuilt by hand, and rank the issues by what they cost you. You get a business case built on your own figures and a fixed Build price before you commit to building.

What we build carries the work from the field to billing in the form your accounting system already imports, checked for what is missing before it reaches your team. It prepares; a person approves anything that charges or pays.

What you get

  • A fixed price after the Spec. Pricing varies by deployment. The Workflow Spec takes up to five business days on site, with travel in the United States included. The Production Build is fixed after the Spec and paid 50/30/20, with the last 20 percent due at operational acceptance.
  • You own it. After payment you own the tool built for you, your data and your production accounts, with the copyright assignment in writing. There is no license fee on commissioned work. If you also want your own people building tools, Fox & Santiago licenses FORGE, our platform, on a 12-month term that starts with a 90-day pilot (FORGE pricing).
  • Built on the systems you already run. Your accounting system stays the system of record. Up to two standard integrations are included in the Build.
  • 30 days of stabilization after go-live, then your choice of Embedded Adoption, a keep-the-lights-on arrangement or a formal handover.

Questions people ask

Does faster invoicing mean more profit?

No. Billing sooner changes when the cash arrives. The extra money comes from work that used to go unbilled, such as parts and extra work that never reached the invoice.

Do you replace our accounting system or ERP?

No. What we build hands accounting what it needs in the form your system already imports. It never becomes a second set of books.

Can the tool send invoices or move money on its own?

No. We decline money that moves without a person approving it. A tool may prepare an invoice; a person approves anything that charges or pays.

How is the engagement priced and paid?

Pricing varies by deployment. The Workflow Spec is paid at signing. The Production Build is fixed after the Spec and paid 50 percent at kickoff, 30 percent at technical acceptance and 20 percent at operational acceptance, when you sign that the tool is live with the agreed crew at the end of the 30-day live period.

Is the Spec fee credited against the Build?

No. The Spec stands on its own: you keep the map, the baseline measurement, the business case and a fixed Build price whether or not you build with us.

How do I know what the problem costs us before we pay for anything?

Run your own numbers through the invoice lag and retyping calculators on this site. The Spec then measures the baseline where the work happens, so the business case is built on your figures.
